Solution

Gusto offers compliance-based trainings for US employees, US contractors, and international contractors with a Gusto profile.

Course information

  • Courses cover harassment prevention, diversity, HIPAA, and security. 
  • They’re available in English and Spanish (with captions) to help companies follow state rules and promote inclusivity.
  • All Gusto plans have access to the courses, but each course has its own price and appears on the monthly invoice under "Gusto Learning".
  • Continuous education (CE) credit is not offered for these courses at this time.

If you're an employee, view what courses your employer has enrolled you in right in your Gusto account.

Set up a new training

Admins with the required permissions can set up and add team members to trainings. There’s no limit to the number of participants that can be enrolled in a course. 

  1. Sign in to your Gusto admin profile.
  2. Go to People and click Learning.
  3. Click See course info in the training you’d like to review.
  4. Review the course information.
  5. Click Assign team members.
  6. Select which team members you’d like to enroll into the training and click Continue.
  7. Enter a deadline for participants to complete the training and click Continue.
  8. Review the course summary and click Purchase.

Once added to the course, participants will receive an email with information and a link to complete the training. They’ll also see a “To-Do” notification on their Gusto account dashboard.

Add or remove a participant from an existing training

Admins with the required permissions can add or remove team members from trainings. 

Add a participant to a training

There’s no limit to the number of participants that can be enrolled in a course.

  1. Sign in to your admin profile in Gusto.
  2. Go to People and click Learning.
  3. In the Course progress tab, select the training you wish to add a participant to.
  4. Click the green + sign on the right-hand side.
  5. Select the participant(s) who need to be added to the training.
  6. Click Continue.
  7. Enter a deadline for participants to complete the training and click Continue.
  8. Review the course summary and click Purchase.

Remove a participant from a training

If a participant has started a training, they cannot be removed. 

  1. Sign in to your admin profile in Gusto.
  2. Go to People and click Learning.
  3. In the Course progress tab, select the training you wish to remove a participant from.
  4. Click the three dots next to the participant who needs to be removed and select Remove Participant. 
  5. In the pop-up window, select Yes, remove participant.
Send an email reminder to participants to complete a course

You can send an email reminder to participants to complete a course at any time. 

  1. Sign in to your admin profile in Gusto.
  2. Go to People and click Learning.
  3. In the Course progress tab, click the three dots next to the training you wish to send an email reminder for.
  4. Select Send reminder to all.
View and download course completion and certificates

Team members can complete these online trainings anywhere, at any time. Their progress will be automatically saved in the system, allowing participants to take the training at their own pace.

Some courses have an expiration date, while others do not. If there's an expiration date, it'll be shown on the certificate. If your team members do not finish the course before the due date, the course will appear as “Overdue” and they’ll receive reminders to take it. 

Certificates are validated by our partner, and the courses cover all requirements the law states.

View participants’ completed courses and download certifications

  1. Sign in to your admin profile in Gusto.
  2. Go to People and click Learning.
  3. In the Course progress tab, select the training you wish to view.
  4. Under the “Status” column, review the participant’s course status.
  5. Click the three dots next to the participant who has completed the course.
  6. Select Download certificate.
Renew a training
  1. Sign in to your admin profile in Gusto.
  2. Go to People and click Learning.
  3. Select the training you wish to renew.
    • To renew a single participant’s training:
      • Click the three dots under the Actions column.
      • Click Renew training certificate.
    • To renew multiple participants’ trainings:
      • Check the box next to each participant.
      • Click the green Actions button and select Renew training certificates.
  4. In the pop-up window, enter a due date and review the upcoming charges.
  5. Click Enroll and pay.
Billing

Each course is individually priced, and courses that your company enrolls in will be added to your monthly invoice under the “Gusto Learning” section.

You’ll only be charged for participants who have started a course. Once a participant starts a course, the course fee will be added to your monthly invoice. Depending on when participants start a course (end of month vs. beginning of month), your monthly invoice amount might fluctuate.

If you remove a participant from a course before they start it, or if they leave your company before they start it, you will not be charged.

Workplace violence prevention training (for California employers)

Beginning Jul 1, 2024, California employers are required to give a workplace violence prevention training—this training must be customized to your specific company.

Q: Can I change the due date?

A: No, you cannot change the due date at this time. 

Q: My employee did not complete a course, and it’s now showing up as “discontinued.” What should I do?

A: We updated a few courses in Gusto Learning. The archived or “discontinued” courses are still compliant with all current state mandates. Any assigned team members can still complete the training, which will fulfill any state harassment prevention training mandate in all 50 states. If you need to assign an employee a training, search for the updated training in the course catalog. 

Q: Do you offer continuous education (CE) credits for completing a course?

A: No. Continuous education (CE) credit is not offered for these courses at this time.
