Give your team access to Gusto (for admins)

Summary

Admins can learn how to give your team access to Gusto and how to resend an employee “welcome” email.

Solution

Team members cannot sign in to Gusto until an admin adds their email address to their profile.

✅ We recommend using personal email addresses so they can still see their pay records (like W-2s or 1099s) even after they leave your company.

If someone is having trouble signing in after you’ve added their email, they can get help here.

Give US employees access to Gusto

Once you add their email, employees can:

  • View paystubs
  • Download year-end W-2 forms
  • Update their personal info
  • And more...

They’ll keep access to their account after leaving your company if an email is saved in their profile.

How to add or update an employee’s email (active or dismissed employees)

  1. Sign in to your admin profile in Gusto.
  2. Go to the People section.
  3. Click the employee’s name.
  4. Go to the Personal tab
  5. Under "Personal information", click Edit next to "Personal email".
  6. Enter their personal email address.
  7. Click Save.

The employee will get an email with a link to set up their Gusto account. If they do not see it, ask them to check their spam folder.

📌 If the email is lost or deleted, they can click Reset Password on the Gusto sign-in page to get a new email.

Give US contractors access to Gusto

Contractors can view:

  • Payment history
  • Year-end 1099 forms

They’ll keep access even after the contract ends.

How to add or update a contractor’s email (active or dismissed contractors)

  1. Sign in to your admin profile in Gusto.
  2. Go to the People section.
  3. Click the contractor’s name.
  4. Go to the Personal tab
  5. Under "Personal information", click Edit next to "Personal email".
  6. Enter their personal email address.
  7. Click Save.

The contractor will get an email with a link to set up their Gusto account.

📌 If they do not see it, have them check their spam folder or click Reset Password on the Gusto sign-in page to get a new email.

Resend an employee’s welcome email

You can resend the welcome email if:

  • You already added their email
  • They haven’t started self-onboarding

If the employee has already started onboarding but cannot sign in, try these steps instead.

How to resend the welcome email

  1. Sign in to your admin profile in Gusto.
  2. Go to the People section.
  3. Click Onboarding team members.
  4. Find their name and open the Actions menu.
  5. Click Send a reminder.
    • This option only shows if they have not started self-onboarding yet.

If you did not add their email during onboarding

If an employee’s status says “Not invited,” follow these steps:

  1. Sign in to your admin profile in Gusto.
  2. Go to your Home page.
  3. In the browser, type: https://app.gusto.com/payroll_admin/invites.
  4. Hit Enter.
  5. Add the email address for each person marked “Not invited”.
  6. Click Invite employees.
