With the Gusto mobile app, employees can manage aspects of their Gusto profiles, view payday insights, view and edit tax elections, and access financial tools right from their mobile device.

The mobile app is available on iOS® and Android™ phones through the App Store® and Google Play® store.1

To set up the app, simply download it from the App Store® or Google Play® store (depending on the type of phone you have) and sign in.

Employers can run payroll in the mobile app. The Gusto mobile app does not currently offer any functionality for contractors. 

The Gusto mobile app offers the following employee features. For full access to all employee features, employees can still sign in to their Gusto accounts on the web.

Cash Accounts financial tools

  • Spending account and debit card: Employees have access to an interest-bearing checking account designed to help them seamlessly connect payday and banking.3 They also get budgeting tools and dynamic spending insights so they can track their spending habits over time. With the mobile app, employees don’t have to wait for their debit card in the mail to use it—they can add their virtual card to their mobile wallet immediately after opening their account via Apple Pay® or Google Pay™.6 Immediate card access with the virtual card is only available for the first card. A reordered card can only be added to the mobile wallet once the physical card is received and activated.
  • Savings goals: Employees have access to interest-bearing bank accounts to help them bridge payday and savings, making it easier to save for the unexpected and achieve greater financial security.5
Tax Tools

Gusto has partnered with april to offer helpful tax-related tools exclusively in the Gusto mobile app:

  1. Two free, year-round features to help employees better plan their taxes for more financial clarity:
    • Refund Estimator: A tool to better forecast next year’s federal income taxes, showing what an employee might pay or be refunded.
    • Paycheck Optimizer: An extension of the Refund Estimator. This tool offers eligible employees suggestions on adjusting their federal withholding based on their projected tax outcome. If the suggestion is accepted, the employee will be immediately prompted to re-sign their W-4 federal tax election form. If signed, the new tax elections should be reflected on their next processed paycheck.
  2. Automated Tax Filing: A tax filing tool for yearly personal taxes that can be accomplished while staying within the Gusto mobile app. Click here to learn more.  
Time tracking

Employees enrolled in Gusto time tracking can clock in, clock out, and manage their hours at the touch of a button. 

If you're a domestic contractor, you can also track your hours, however, you won’t be able to use the Gusto mobile app to track your time.

You can only track hours or turn on location sharing for an active pay period.

Track your hours in the Gusto mobile app

  1. Open the Gusto mobile app.
  2. Go to the Time/Work tab.
  3. Click Clock in.
    • If you’d prefer to manually add hours for the day, click the Current pay period card. Click Add hours and select your clock-in and clock-out time periods for the day.
      • You can add a note to each block of time. If required by your employer, you may be prompted to leave a note to identify a break or when you've manually added hours.
  4. Click Clock out when your shift is done.

Track a break

  1. To take a break when you’re clocked in, select Take a break and select the type of break—meal or rest.
    • You'll only see this if your admin has meal and rest breaks set up and you’re assigned to a break policy.
  2. When your break is done, remember to come back to the app and select either End break and clock in or End break and clock out.
    • If you end your break early, you may be asked to select why you’re ending it early. See your break-specific state laws.

Gusto will automatically calculate your time worked for the day and log it. Gusto will automatically calculate your time worked for the day and log it in your timesheet for your manager or admin to review and approve. 

Track time to projects

Here's how to track your time to a project when you clock in and out. Click here to learn more about tracking hours to a project.

  1. Open the Gusto mobile app.
  2. Go to the Time/Work tab.
  3. Use the dropdown in the tile to select the project you'd like to track time to.
    • If the time is not associated with a specific project, choose no project.
    • The list of projects was created by your company—if you’re not sure which to choose, reach out to your payroll administrator.
  4. If applicable, enter the task associated with the project from the dropdown.
  5. Select Clock in.
  6. Once your workday or shift is complete, select Clock out.

Review, edit, or remove hours tracked

You can edit your hours until the point the hours have been approved or a payroll administrator has processed payroll for that pay period—at that point, administrators will need to make any adjustments required.

If you need to manually adjust your time worked, follow the steps below to add, edit, or remove hours in the Gusto mobile app.

  1. Go to the Time/Work tab.
  2. Click the Current pay period card.
    • Make sure the pay period selected is the one for review.
  3. Click Add hours to add hours manually. To change or delete hours/breaks, click Edit.
    • If mandated by your employer, you may be prompted to leave a note about the change you made.

Gusto will automatically update your tracked hours.

FAQs

Can a shift span for longer than a day?

No. Gusto automatically stops a shift at 12am and starts a new shift at 12am that ends once you clock out. If you forget to clock out, you can edit your hours in the Gusto mobile app or in the Time Tracking section of your online Gusto account.

Can I enter future hours?

No.

Time scheduling

Your employer may use Gusto's Scheduling tool to post your work shifts right in your Gusto account. 

To view the Schedule section of your account, the feature must first be turned on by your payroll administrator. Reach out to your employer if you do not see this option. 

You can view your assigned shifts on both the website and in the Gusto mobile app.

View your work schedule in the Gusto mobile app

  1. Open the Gusto mobile app.
  2. Click the Time tab.
  3. Select the My Schedule card.
  4. In the schedule view, click on the shift you want more details about.
    • If your employer has left any notes about a shift, you can see them here.
Benefit cards

Employees with Gusto-managed benefits have read-only access to information on their medical, dental, and vision plans, and tax-advantaged accounts (e.g., HSA, FSA) brokered by Gusto.

Under the Benefits tab, employees can view their member ID, group ID, and full plan documents, as well as balances for tax-advantaged accounts.

Paid time off

Employees enrolled in a time off policy can request, cancel, and view their time off balances and requests in the Gusto mobile app or from your web browser.

Request time off 

  1. Open the Gusto mobile app.
  2. Go to the Time/Work tab.
    • If the Time tab doesn't appear on your mobile app homepage, reach out to your payroll admin to see if this is a feature the company offers through Gusto. 
  3. Select Request Time Off.
  4. Choose the policy you wish to request time off from.
  5. Select the day(s) for your requested time off.
    • Full Days: this submits 8 hours for each business day (does not include weekends).
    • Partial Days: a default amount of 8 hours is entered for each date. Update this number as needed.
    • If you select a single date: a default amount of 8 hours will be entered. Update this number as needed.
    • If you select multiple days, choose either.
  6. Optional: Add a note to your employer about the request.
  7. Click Submit Request.

Your company's payroll administrators will be notified by email of your request. Once the request has been approved or declined, you'll receive an email notification.

Cancel a time off request

Follow these steps to cancel a time off request from your Gusto mobile app.

Heads up: If any portion of your paid time off has already been processed on payroll, you'll instead contact your company's payroll administrator to make changes.

  1. Open the Gusto mobile app.
  2. Go to the Time/Work tab.
  3. In the list of upcoming requests, click the time off request you’d like to cancel.
  4. Click Cancel Request.

Edit a time off request

To change a time off request, cancel the current one with the steps above and then create a new request.

Paycheck splitter

Employees can use the paycheck splitter to divide their direct deposit and automatically route their paycheck into multiple accounts—whether that’s between a savings goal, a spending account, or external bank account(s).

For example, an employee can allocate $25 from each paycheck to their Gusto savings goal for a “Rainy Day Fund,” $50 to their external bank account, and the remainder of their paycheck to their Gusto spending account.

From the paycheck splitter, employees can add and remove bank accounts, change dollar or percent allocation to each, and drag and drop accounts to order them the way they’d like. Once saved, paycheck splitter changes take effect on the employee’s next paycheck, as long as that payroll has not already been processed by the employer.

  1. Open the Gusto mobile app.
  2. Go to the Pay tab.
  3. Select Edit paycheck split.
  4. Enter the pay allocation you'd like.
  5. Click Save.
Pay Insights

Employees on the mobile app have the exclusive ability to access Pay Insights within the Pay tab, which shows the patterns and details of their past paychecks and insights for future paychecks. Pay Insights includes:

  • The ability to view and download individual paystubs with a simple breakdown of hours, taxes, deductions, and more
  • Charts showing month-over-month income patterns
  • A year-to-date earnings and paycheck breakdown visualization
  • An upcoming pay date projector
Tax elections
  1. Sign in to your account on the mobile app.¹
  2. In the top-right corner, select the You icon.
  3. Select Tax Elections. 
  4. Click edit for the sections that need to be updated.
  5. Click Save. 
  6. If federal taxes were updated—click Sign Document and sign your new W-4 form.
    • You can also review and sign this form later in your Documents section.

Your changes will take effect the next time your employer runs payroll. On or after the check date, view your paystub and review your withholding under “Employee Taxes Withheld.” 

Tax documents

Employees can easily view their personal tax and employee documents within the app, including W-2s and W-4s. 

  1. Open the Gust mobile app.
  2. In the top-right corner, select the You icon.
  3. Select Documents.
  4. Choose either Tax Documents or Employee Documents.
  5. Select the document you’d like to review.
Personal details

Employees can edit their personal details including their preferred name, date of birth, phone number, home address, and emergency contact. Employees can also view their full legal name, date of birth, and some other information.

Here's where to find this info:

  1. Open the Gusto mobile app.
  2. In the top-right corner, select the You icon.

If you do not have access to update info, send your new info to your company administrator to update.
