Before you can be paid
If your employer adds you as a non-US contractor in Gusto, you must set up a Gusto profile.
You’ll need:
- Form W-8 BEN (individuals) or Form W-8 BEN-E (businesses) – Gusto creates this for you when you start setup. - You must fill out a Form W-8 BEN or Form W-8 BEN(E) to be compliant. If you need help, ask a tax advisor—Gusto cannot give tax advice.
 
- Tax ID from your home country.
- Bank account in the US or in the same country as your Gusto profile address. - US bank accounts are not allowed for contractors in Australia.
 
- If you are a US citizen abroad, your employer must add you as a US contractor instead.
Payday and taxes
- You’ll get an email on payday letting you know you're getting paid (by the end of the day). - For pay date details before payday, ask your employer.
 
- Gusto does not withhold taxes and does not file tax forms for non-US contractors. If you need year-end tax forms, ask your employer.
Important: Make sure all information you use to set up your Gusto profile is 100% accurate. Once it's used on official forms, it's more difficult to edit or update.
Here's how to set up your profile in Gusto:
- Open the welcome email from Gusto and click Get started.
- Enter your details: - Date of birth.
- Tax ID from your country.
- Street address (used for “permanent resident address” on your W-8 form).
 
- Click Save & continue.
- Enter your bank account information—make sure all information is 100% accurate. If payments get sent to an incorrect or unrecognized bank account, they cannot be reversed. - Must be from the US (except Australia) or the same country as your address.
- Name in Gusto must exactly match the bank account name.
- Payments to the wrong accounts cannot be reversed.
 
- Click Save & continue.
- Click Generate & download Federal W-8 BEN/W-8 BEN(E) to download your W-8 form: - W-8 BEN for individuals.
- W-8 BEN-E for businesses.
 
- Review the autofilled information. If wrong, tell your employer—they must contact Gusto.
- Fill in any missing details, sign, and upload. - Gusto cannot give tax form advice. If you need help with the form, contact the employer or a tax advisor.
 
- Click Confirm & submit.
Once complete, your employer can pay you in Gusto. On paydays, you'll get an email from Gusto letting you know you're getting paid (by the end of the day).

Part 1: Identification of Beneficial Owner
- Item 1: Name of individual who is the beneficial owner - Gusto will autofill this field
 
- Item 2: Country of citizenship - Gusto will autofill this field
 
- Item 3: Permanent resident address - Gusto will autofill this field
 
- Item 4: Mailing address - If you have a different mailing address from your permanent resident address, you can enter it here. - Keep in mind: Gusto will rely solely on the permanent resident address, even if this section is filled out.

- Item 5: U.S. taxpayer identification number (SSN or ITIN), if required (see instructions on form) - Important: Gusto does not support withholdings, so this number will not impact payments made using Gusto.
- Check with a legal or tax advisor to determine if this is required for you. - If you’ve applied for an ITIN (typically associated with exemptions), allow 7 weeks to be notified about your application status. It can take 9-11 weeks if it's tax season (January 15 to April 30) or if you applied from overseas. If you did not receive a notice within this timeframe, contact the IRS.
 
 
- Item 6: Foreign tax identifying number - If you didn’t enter an ITIN in step 5, enter your foreign tax identifying number (this may be your SIN)
 
- Item 7: Reference number(s), see form instructions - A reference number will autofill here, for internal use only. Do not change this number.
 
- Item 8: Date of birth (MM-DD-YYYY) - Enter your date of birth.
 
Part 2: Claim of Tax Treaty Benefits
- Item 9: Country of residency - Gusto will autofill this field with the country you're in.

Part 3: Certification
- Agree to all items
- Signature of beneficial owner (or individual authorized to sign for beneficial owner)

- Print your name
- Capacity in which acting—if the form is not signed by the beneficial owner.
Businesses are required to complete and submit Form W-8 BEN E. This form confirms your business is the payment owner. We'll start the document for you when you enter your details in Gusto.
Part 1: Identification of Beneficial Owner
- Item 1: Name of organization that is the beneficial owner - Gusto will autofill this field.
 
- Item 2: Country of incorporation or organization - Gusto will autofill this field with the country you're in.
 
- Item 3: Name of disregarded entity receiving the payment (if applicable, see instructions) - A disregarded entity is a business that is separate from its owner, but elects to be disregarded as separate from the business owner for tax purposes.
 
- Item 4:  Chapter 3 status (entity type) (must check one box only) - It’s important to consult your legal or tax advisor as to what status applies to you–this will help prevent any misunderstandings with tax agencies.
 
- Item 5: Chapter 4 status (FATCA status) (See instructions for details and complete the certification for the entity's applicable status.)
- Item 6: Permanent resident address - Gusto will autofill this field
 
- Item 7: Mailing address (if different from above) - If you have a different mailing address from your permanent resident address, you can enter it here. - Keep in mind: Gusto will rely solely on the permanent resident address, even if this section is filled out.

Part 2: Disregarded Entity or Branch Receiving Payment (only complete if you're a disregarded entity (with a GIIN) or branch of an FFI in a country other than the FFI's country of residence)
- Item 11: Chapter 4 status (FATCA status) of disregarded entity or branch receiving payments - Consult a legal or tax advisor with questions.
 
- Item 12: Address of disregarded entity or branch (street, apt. or suite no., or rural route). Do not use a P.O. box or in-care-of address (other than a registered address)
- Item 13: GIIN (if any) - Only required if registered for FATCA.

Part 4 – Part 29: Entity types
Consult a legal or tax advisor and complete the appropriate section based on your entity type.
Part 30: Certification
Sign, print, and date the form.
If you do not have the option to update your bank info, contact your employer.
Heads up: If Gusto gets a bank error, you’ll get an email to update your details. Most often, you'll need to fix:
- Your bank account details, or
- The name on your bank account (it must match your full name in Gusto exactly).
Update your bank account info
- Sign in to your non-US contractor profile. - If you do not have a profile yet, employers can request an information update from you using the instructions in this article. You'll get an email, and once you've saved the information, we'll let your employer know.
 
- Go to Profile.
- Under "Information", click Payment
- Next to "Payment", click Edit.
- Update any of the details: - Payment method.
- Account holder name (full name must match bank records).
- Account number.
- Confirm account number
- Bank name.
- SWIFT code (if it applies, common for non-US banks). If you do not know it, confirm it with your bank.
 
- Click Save.
If you update your bank account information after payments have been submitted, contact your employer to reschedule the payments to the new account.
If you do not have a profile yet, employers can request an information update from you using the instructions in this article. You'll get an email, and once you've saved the information, we'll let your employer know.
How to update your personal information
- Sign in to your non-US contractor profile.
- Go to Profile.
- Next to "Personal information," click Edit.
- Edit any of the details: - First name.
- Pronouns.
- Tax ID.
- Birthday.
- Recovery email.
 
- Click Save.
How to update your address
- Sign in to your non-US contractor profile.
- Go to Profile.
- Next to "Address," click Edit.
- Edit any of the details: - Country
- Street address
- City
- Postal code.
 
- Click Save.
How to view your payments in Gusto:
- Sign in to your non-US contractor profile.
- Click Payments.
You'll be able to see payments sent and details like:
- Estimated pay date
- Wage
- Payment amount
- Payment method
- Payment status
How to view or add documents in a non-US contractor profile:
- Sign in to your non-US contractor profile.
- Go to Documents.
- To add a document, click Add document. - You're able to delete documents you add, but you cannot delete your W-8 form.
 
- To view a document, click the three-dot Action menu and select View.
How to show or hide your birthday and phone number (with coworkers):
- Sign in to your non-US contractor profile.
- Click your name in your profile (at the top-right)
- Select Settings.
- Go to Privacy.
- Click Edit next to "Birthday" or "Phone Number" and choose to show or hide your birthday or phone number from coworkers. - Admins can still see this information.
- Birth year is never shown to coworkers
