What it does

  • Track important company dates directly in your Gusto account.
  • The primary administrator decides what employee information is visible to others.

Important reminders

  • You can add payroll reminders to your personal calendar (Google, Outlook, etc.).
  • Some events (*) are only visible if your admin permissions allow it. If you cannot see an event, ask your primary admin to update your permissions.
  • You cannot add your own events to the Gusto calendar.
  • The in-app calendar is not available on mobile.
How to view the Gusto calendar in your account

How to view the calendar in Gusto:

  1. In the top-right corner of Gusto, click the Calendar icon (next to your name).
    • A snapshot of the current month appears.
  2. Use the arrows to move between months.
  3. Click an event icon to see details.
Events you might see (for admins)

You cannot customize the calendar with your own events.

(*) Event visibility depends on admin permissions. If you cannot see an event, ask your primary admin to update your permissions.

Events you might see on the Gusto calendar

  • Payroll deadlines* (for US payroll)
  • Pay dates (for US payroll)
  • Estimated pay dates (for non-US payroll)
  • Holidays
    • Non-US holidays will appear for countries where you've onboarded non-US employees. 
  • Co-workers’ out-of-office days
  • Co-workers’ birthdays and work anniversaries*
  • Co-workers’ start dates*
  • Customer anniversaries*
  • Non-US Employer of Record (EOR) invoicing dates for:
    • Pre-funding invoice
    • Reconciliation invoice
  • Pending time off requests*
    • For non-US employees: You'll see pending and approved time off requests.
Events US employees can see

US employees can view the following in their Gusto calendar:

  • Scheduled pay dates
  • Teammates’ birthdays and anniversaries
  • Teammates’ approved time off (shown as “out of office”)

Note: Non-US employees and all contractors do not see Gusto calendar events.

How to hide employee info (Primary admins)

Here's how to hide employee info from teammates:

  1. Sign in as the Primary admin.
  2. Click your name at the top right of Gusto.
  3. Select Settings.
  4. Click Customization.
  5. For Plus + Premium plans: Next to “Coworker directory,” click Edit.
    • The coworker directory controls visibility for org charts and important coworker dates.
  6. Toggle "Status" to Disabled.
  7. Click Save.

Note: Feature temporarily unavailable for the Simple plan.
