You can update some information on your own in Gusto, while your employer must update other details for you. This article explains what you can change yourself, what requires employer assistance, and how to manage key details like bank accounts, addresses, and tax withholdings.

Contact your employer to change this information

Your employer must update these details for you:

  • Your legal name
  • Social Security Number (SSN)
  • Work address
  • Job title
  • Job type (full-time, commission, etc.)
  • Work email

Action: Contact your employer or admin if you need to change these.

Note:
Set up direct deposit or change bank account information

You can add, update, or remove bank accounts for direct deposit. 

US employees and contractors can add up to 5 bank accounts and split pay between them.

Add or change your bank account (or split pay)

Do not use symbols like dashes or commas in your account number. Gusto only accepts letters and numbers (alphanumeric formatting).

Add or update a bank account:

  1. Sign in to Gusto.
  2. Click My profile.
  3. Go to the Pay section.
  4. Click:
    • Edit to update the existing bank account.
    • Add payment method to add another bank.
    • Split pay to divide your pay between banks (if you have more than one set up)
  5. Complete the security check (2-step code and confirm current bank).
  6. Click Save.
Important: If you update your bank info after payroll is submitted but before payday, funds may go to your old account. Contact your employer if this happens.

Split your pay between banks

You can split your money two ways:

  • By percentage (example: 70% to checking, 30% to savings)
  • By dollar amount (example: $500 to one account, the rest to another).
    • If you split by dollar amount, drag and drop banks to set the payment order. We pay in the order you set until all your money is sent.

Mobile app: You can also add or split payments in the mobile app.

If Gusto gets a bank error trying to deposit money into your account

  • We'll email you to let you know and send reminders every 3 business days. If nothing is fixed within 12 business days, your pay will go back to your company’s bank account.
  • We'll automatically try to resend the payment when you:
    • Update your existing bank information, or;
    • Fully remove your old bank account and add a new one.
Add multiple bank accounts and split payments

US employees and contractors can add up to 5 bank accounts. You can split your pay between different banks. 

  1. Sign in to Gusto.
  2. Click My profile.
  3. Click the Pay section.
  4. Click Add payment method to add another bank account.
  5. Set up payment splitting:
    • Choose percentage or dollar amounts
    • Drag bank names to reorder them. We pay in the order you choose.
  6. Click Save.

Payment splitting options

Split by percentage:

  • Example: 80% to checking, 20% to savings
  • Percentages must add up to 100%

Split by dollar amount:

  • Example: $1,000 to checking, rest to savings.
  • Drag bank names to reorder them. We pay in the order you choose.
Remove a bank account
Important: If you remove your only bank account, payrolls submitted when you do not have a bank account on file will be classified as "paper check" instead of direct deposit. Your employer will need to give you the check, unless they're using Gusto to mail them.

To remove a bank account:

  1. Sign in to Gusto.
  2. Click My profile.
  3. Under Information, click Pay.
  4. Next to the bank you want to remove, click Edit.
  5. Before making changes, you might need to complete a security check by entering your 2-step code and confirming your current bank details.
  6. Scroll to the bottom of the pop-up.

Click Remove account.

If Gusto gets a bank error trying to deposit money into your account

We'll email you to let you know and send reminders every 3 business days. If nothing is fixed within 12 business days, your pay will go back to your company’s bank account.

We'll automatically try to resend the payment when you:

  • Update your existing bank information, or;
  • Fully remove your old bank account and add a new one.

 

Change or update your home address

Changing your home address may affect taxes and benefits.

  • If benefits are with Gusto, we will update insurance carriers with your new address.
  • If benefits are with a third party or a broker, ask your employer to update the address with carriers.

For employees

To change your home address:

  1. Sign in to your employee profile.
  2. Go to My profile.
  3. Under Information, click Personal.
  4. Scroll to Address and click Manage home address.
    • PO boxes are not allowed. Only US addresses are supported.
  5. Click Change address.
  6. Select whether you need to correct the current address or if you’ve moved to a new address.
    • Correcting an error in your current address: Edit the address.
    • Moved to a new address: Enter your move-in date and new address.
  7. Click Save.

Once you have a history of more than one home address, you can use the Actions menu (three dots) to edit your known addresses. Click Add a past address to add historical addresses.

For contractors

  1. Sign in to your contractor profile.
  2. Click Profile on the left.
  3. Under Personal, scroll to the Address headline and click Edit.
    • Your address will be used to report your 1099 annual tax form to the government, so make sure it's accurate.
  4. Enter the address and click Save.

At this time, Gusto does not support adding a mailing address in addition to a home address.

Create new federal and state W-4 forms

Update your federal tax withholding elections on a computer

For personal tax advice, consult a CPA or licensed tax advisor—we cannot advise on your personal W-4 elections. If needed, additional resources can be found below the instructions. 

  1. Sign in to Gusto.
  2. Click My profile.
  3. Under "Additional", click Taxes.
  4. In the “Federal” card, click Edit.
    • The selections you’ll make correspond to the IRS’s Form W-4.
  5. Box 1(c)–Enter your federal filing status, this is the only required field.
    • More information about the “Head of household” option can be found by clicking the question mark icon on this IRS page (next to the question itself).
    • If you select “Exempt from withholding,” we will not withhold federal income taxes, but we'll still report taxable wages on a W-2.
      • Keep in mind: Anyone who claims exemption from withholding needs to sign a new W-4 (or update their withholding in Gusto) by Feb 15 of each year—more information below.
  6. Complete the optional next sections only if they apply to you—otherwise, skip them.
    • Box 2(c)–Multiple job: Answering this results in higher withholding, but to preserve privacy, this can be left unchecked.
    • Box 3–Dependent total: If your total income will be $200,000 or less ($400,000 or less if married filing jointly), add the amounts below and enter the total in Gusto.
      • Multiply the number of qualifying children under age 17 by $2,000;
      • Multiply the number of other dependents by $500.
    • Box 4(a)–Other income, not from jobs: If you want tax withheld for other income you expect this year that will not have withholding, enter the amount of other income here. This may include interest, dividends, and retirement income.
    • Box 4(b)–Deductions: If you expect to claim deductions other than the standard deduction and want to reduce your withholding, use the "Deductions Worksheet" on page 3 of the W-4 instructions and enter the result in Gusto.
    • Box 4(c)–Extra withholding: Enter any additional tax you want to withhold each pay period.
  7. Click Save.
  8. Click Sign Document and sign your new W-4 form.

Your changes will take effect the next time your employer runs payroll. On or after the check date, view your paystub and review your withholding under “Employee Taxes Withheld.” 

Update your tax withholdings in the Gusto mobile app

  1. Sign in to your account on the mobile app¹.
  2. In the top-right corner, select the You icon.
  3. Select Tax Elections
  4. Click edit for the sections that need to be updated.
  5. Click Save
  6. Click Sign Document and sign your new W-4 form.
Your changes will take effect the next time your employer runs payroll. On or after the check date, view your paystub and review your withholding under “Employee Taxes Withheld.”

Re-certify your federal tax exemption status each year by February 15

  1. Sign in to Gusto before Feb 15 of each new calendar year. 
  2. Click My profile.
  3. Under "Additional", click Taxes.
  4. In the “Federal” card, click Edit.

  5. Enter your state filing status.
    • If you choose "Do Not Withhold," or in some state-specific cases, "Yes, you're exempt from withholding," Gusto will not withhold state income tax from your wages. All taxable wages will still be reported on your W-2.
  6. Fill out the remaining fields.
  7. Click Save.

Your changes will take effect the next time your employer runs payroll. On or after the check date, view your paystub and review your withholding under “Employee Taxes Withheld.” 

Change your personal email address or password
Important: To change your email address, you need to sign in to your employee or contractor profile in Gusto. If you cannot sign in, check out this article to get sign-in help.

To change your personal email address or password:

  1. Sign in to Gusto on a desktop computer.
  2. In the left menu, click Settings.
  3. Go to Security and click Change next to your email or password.
  4. Enter your new email or password. You can also enter a recovery email to use in case you lose access to your primary email.
    • If you get the error message “Email already in use” we can help. To contact us, sign in to your Gusto account and click the help icon Speech bubble icon with a question mark inside in the top-right corner of the page.
    • Can't access your account? Follow these steps to troubleshoot signing in. You will not be able to change account information (like email or password) until you've successfully signed in again.
  5. Click Save.

We’ll send a notification about this update to your former email address.

Update your personal phone number and visibility preferences
Important: This is the phone number shown to your employer and coworkers (not your 2-step verification number).

If you have a new phone number and cannot sign in, prove who you are first. Then, you can update your security code phone number.

If you need to update your work phone number, reach out to your employer for help.

To update your personal phone number on record with employers:

  1. Sign in to your employee account.
  2. Go to My profile.
  3. Under Information, click Personal.
  4. Next to Personal information, click Edit.
  5. Add or update your personal phone number, then click Save.

Show or hide your phone number from coworkers

  1. After signing in, in the right corner of your profile, click your profile name.
  2. Click Settings.
  3. Go to Privacy.
  4. Next to Phone number, click Edit.
  5. Select whether you’d like to hide or show your phone number from coworkers
  6. Click Save.
Update your birthday and visibility preferences

For US employees

Reach out to your admin to make the update for you. Your birthday appears on tax documentation, so they’ll need to confirm the date (usually done at the start of employment).

For US contractors

To update your birthday as a US contractor:

  1. Sign in to your contractor profile.
  2. Go to My profile, then Personal.
  3. Next to Personal Information, click Edit.
  4. Edit your birthday and click Save.

Show or hide your birthday from your coworkers (for US employees and contractors)

  1. Sign in to your account.
  2. Go to Settings, then Privacy.
  3. Next to Birthday, click Edit.
  4. Select whether you’d like to hide or show your phone number from coworkers. We will not show your birth year to coworkers.
  5. Click Save.
Add or update your profile photo

For employees

To upload a photo or import one from your LinkedIn, go to the Personal details section of your employee profile and click the circle icon next to your name.

For contractors

To upload a photo, go to the Profile section of your contractor profile and click the circle icon next to your name.

Change your emergency contact

To update your emergency contact in Gusto:

  1. Sign in to Gusto.
  2. Go to My profile.
  3. Under Information, click Personal.
  4. Scroll to Emergency contact and click Edit.
  5. Change details, and click Save.
Check when you get paid

Your pay date depends on when your employer sends your payroll through Gusto. Once your employer runs payroll, use this guide to fix any payment problems.

Non-US (international) contractors: If you have payment issues, ask your employer to message us through their Gusto account.

How direct deposit works

  • Your employer submits payroll to Gusto
  • Gusto sends direct deposit payments electronically to your bank
  • You get an email from Gusto on payday
  • Your paystub shows up in your account (learn where you can find them in Gusto in this article)
  • Banks have until 5 PM local time to put money in your account

Important: Each company has different payment speeds. Ask your employer about your specific pay date. Gusto cannot answer questions about payments until your actual payday.

How check payments work

Your employer is responsible for giving you or sending you your paper check. Check your paystub in Gusto to see if you're getting paid by direct deposit or check.

My payment is missing—what do I do?

If you do not see money in your account on payday (allow until 5pm local time), or you believe there's a delay, follow these steps:

Step 1: Check your account

Make sure you're signed in to the right Gusto profile. If you have multiple accounts, try switching to a different one.

Step 2: Check your payment method

  1. See if you're set up for direct deposit in your profile.
    • Note: Even if you have direct deposit set up, your employer can still choose to pay you by check.
  2. Look at your paystub in Gusto to see if you're getting paid by direct deposit or check.
    • If it says "check," your employer should give you a paper check. The money will not appear in your bank if you're paid by check.

Step 3: Check your bank information

Make sure your bank details are correct:

Look for the test payment:

  • Gusto sends a $0.01 test payment when you add bank info
  • You should see this within 1-2 business days
  • If you do not see it, your bank info might be wrong

If your bank info is wrong (and we got an error trying to deposit funds):

  • Update your existing bank information—we'll automatically try to resend the payment to the new account.
  • If you fully remove your old bank account and add a new one:
    • For US employees: We'll automatically try to resend the payment to the new account.
    • For all other users: You need to message us from the Image section of your account to resend your payment.

If you recently changed banks:

  • Check your old bank account for the payment
  • If you cannot access your old account, message us from the Image section of your account to get your "ACH trace ID" (payment tracking number)
  • Then call your bank to help find the payment

Step 4: Check for pending payments

Sign in to your current bank account or call your bank. Ask if there are any pending payments (credits) coming to your account.

    • When is my expected pay date?
    • Am I being paid by direct deposit or check?
    • Can you confirm my bank account details are correct?
    • Can you check my payment details?
  2. If your employer cannot help, they can message us from the Image section of their admin account. Our team can give them detailed information about your payment or any errors.
