This article is for admins who need to access and understand reports in Gusto.

Go to Reports in your Gusto admin account to view and download payroll, HR, time, and tax data. If you do not see Reports in the left menu, ask your primary admin for reporting permissions.

How report data works

How report data works in Gusto:

  • Payroll totals use check date: Wages, taxes, hours, and similar totals are based on the check date, not the pay period.
  • Employment details use calendar dates: Items like birthdays and hire dates use the actual calendar date.
  • Export formats: Most reports download as PDF, CSV, or Excel (.xlsx).
  • After running them, you can email these reports: Payroll journal, year-to-date (YTD), and benefit deductions (see details for each report in the table).

How work addresses show in reports

How work addresses appear in Gusto reports:

  • Reports do not show P.O. boxes as valid work locations.
  • Reports show the full address if you have multiple work locations in one city.
  • If you have one work location, reports show the city only.

Standard reports are pre-built reports that we created for everyday admin needs. Use them when you need quick payroll, tax, or employee data without building a custom report.

1099 tax forms View your contractors’ 1099 forms.

Agency payments

This report shows all federal, state, and local tax deposits and any garnishment payments Gusto made for your company.

  • Report will not show any pending payments, only those that Gusto processed.
    • Example: For Q1 (January 1 – March 31), taxes are due on April 30. Q1 taxes may not appear in this report until close to that final due date.
Attendance

This report provides a detailed history of scheduled hours compared to actual hours worked and flags attendance issues.

  • Get more details about the report in our Time Scheduling article.
Bank transactions

This report shows all payroll-related bank transactions between Gusto and your company’s bank account.

You can also try the general ledger report (more info below).

  • Report shows transactions in order from oldest to newest, starting from when you joined Gusto.
  • Cannot download as a CSV
  • Contains every debit and credit Gusto made
  • Click View details on any debit transaction to get a more detailed breakdown.
Benefits deductions This report shows employee deduction amounts and company contribution amounts for each benefit.
  • Uses year-to-date totals
  • Date range is always a standard calendar year.
  • You can email this report if you have more than 50 employees.
Cash requirements View your cash requirements history.
  • N/A
Contractor information This report provides information about your contractors, including their personal details and pay type.
  • Certain sensitive information is excluded:
    • Bank account details
    • Social Security number
    • Reach out if you need this information. To contact us, sign in to your Gusto account and click the help icon Speech bubble icon with a question mark inside in the top-right corner of the page.
Contractor payments This report shows the payment method, payment date, hours worked, additional earnings, and personal notes on each contractor payment.
  • Report is customizable.
  • This is the contractor version of the payroll journal report.
Custom report Build a custom report using details about your employee’s payroll, HR, and benefits.
  • Use the Break down by field to organize your report by payroll, employee, or work address. You can pick one option or combine them in any order.
  • Use the Time period field to pick when you want to see data from. Choose a single day, a date range, or specific payrolls. 
  • Once built, you can save the custom report as a template and reuse it in the future by clicking Reports, then Custom reports.

Employee benefit elections*

This report shows a list of employees, their dependents, their benefits information, and their salaries.
  • *Use this tool if you work with benefits but don’t use Gusto as your broker. You can check coverage details with carriers or create quotes.
  • Shows benefit information from the date you choose for the report.
  • Only available to admins with Manage all benefits and View payroll reports and tax filing permissions, or with full access.
Employee summary All the details about your employees’ information (data), compensation, and taxes.
  • This report includes employee information and data like:
    • First and last name
    • Gusto employee ID
    • Department
    • Personal email
    • Work email
    • Home address
    • SSN 
    • Date of birth
    • Start date
    • Termination date
    • Job title
    • Compensation
    • Payment info
    • Employee type and status
    • Manager
    • Withholding
    • And more
Expenses

This report shows a summary of reimbursed expenses, and you can group them by check date, employee, or expense category. 

  • The date range for the report is limited to 90 days. 
  • Report file-types available: PDF or CSV
Federal tax documents View your federal tax filings.
  • N/A
General ledger

View journal entries with debit and credit information.

  • Download by check date
  • Split journal lines by certain segments:
    • No split
    • Job 
    • Department
  • Can include accounting codes if you have accounting integrations
  • Ledger includes:
    • Account type
    • Account description
    • Debits
    • Credits
    • The export includes “basic” and “detailed” info — toggle tabs.
  • Not supported at this time:
    • Custom dates range ledgers or ledgers for multiple payrolls at once
    • Ledgers by pay period — currently, you can only run this report by check date
Gusto recruiting applicants

View information, status, and responses for your job posting applicants.

  • N/A
International contractor payments View your payment history for international contractors.

Payroll data export This report lets you download an Excel workbook with raw data for all of your payrolls (by year). This is the most complete view of your payroll history.
  • Toggle between tabs in the Excel workbook to view more data:

Payroll journal

This report shows detailed payroll information for each pay period and employee — perfect for accountants. 

New layout, design, and customization

  • Get familiar with the new report design before the old one is gone.

Legacy report details

  • View the legacy report in Gusto.
  • Report is customizable. Filter by:
    • Date range
    • Year
    • Employee

  • Select and/or deselect any and all custom options.
  • Often used for workers’ comp audits
  • Earnings totals for the time period appear at the base of the report.
  • One-time reimbursement totals are a lump sum (instead of broken down by person or grouped by name).
    • We group recurring reimbursements by name.
  • You can email this report if you have more than 100 employees at the company.
  • This report may not work if your company has more than 500 employees and contractors (active or dismissed).

Payrolls prior to Gusto This report shows all payrolls you added to the account before joining Gusto. This includes earnings, deductions, employee taxes, and employer taxes for each employee.
  • This information goes into your annual totals to make sure we report accurately at year-end.

  • You can also run a payroll journal report that includes the date range of the historical payrolls. This shows the same information in a different format. 
Payroll trend

Identify and monitor payroll trends over a specified time period —includes a chart for visualization.

  • You can save this report as a template or schedule it to run in the future.
  • The report automatically includes:
    • Time period breakdown/trend
    • Gross earnings
    • Total employee deductions
    • Total employer contributions
    • Net pay
    • Total employer cost
    • Check amount
  • Click Time period to modify:
    • How the report is broken down:
      • Month
      • Quarter
      • Year
      • Payroll
    • The time period
      • Options change based on how the report is broken down.
    • Click Change to change how you want to view data:
      • Payroll pay date (check date)
      • Payroll start date (start of pay period)
      • Payroll end date (end of pay period)
  • Click vertical axis to pick which column (data) displays in the chart.
  • Click the Chart to choose what type of chart to display:
    • Vertical bar
    • Line

  • Click the caret next to column titles to:
    • Sort info by:

    • Edit the display of info:
      • Move columns left or right — the first column cannot be changed.

  • “Subject wages” are wages that the government taxes. “Gross wages” are the total wages you earn.

View all quarterly and annual forms that Gusto filed for your company.

Taxes prior to Gusto

This report shows any tax liabilities you elected for Gusto to debit and pay during onboarding.

  • An amount of $0.00 means you opted for Gusto not to pay that tax liability.
  • Sometimes, the “Liabilities as of Payroll date” may appear incorrect. This happens when we enter tax liabilities as lump sums.
    • Example: An unemployment liability entered for Q1 and Q2 will show the latest date (Q2) as the “Liabilities as of Payroll date.”
    • Review the agency payments report for confirmation of taxes paid.
Tax reconciliation history

View all credits or debits made to your account to add changes to your tax rates or other adjustments.

  • N/A
Time off balances

This report shows your employees’ accruals, hours used, and balances for each policy.

Time off requests

This report shows your employees’ department, time off request statuses, policy type, request creation date, time off requested, notes from the request, and total hours.

  • We combine sick time and PTO hours.
    Pro Tip: To customize the report per policy, download it as a CSV and edit it.

  • Must be a Plus or Premium customer using PTO requests.
Time-tracking hours

View your employees’ hours (including breaks if a policy is set up) by pay period or select a custom date range.

  • Must be a Plus or Premium customer using Gusto Time Tracking to see this report.
W-2 and W-3 tax forms

View your employees’ W-2 and W-3 forms.

Workforce costing

Workforce costing reports — also known as labor or job costing reports— help you understand your labor costs.

You can run workforce costing reports by project (Plus and Premium customers only), job, or department.

First, set up projects, jobs, and departments. Then, run a payroll journal report and group the data by jobs, projects, and/or departments to see the costs of each.

  • Projects: Create projects in Time tracking of your account. Once your employees track their hours to projects, you can run reports to see the payroll expenses needed to complete each project.
  • Jobs: Assign employees to jobs. 
  • Departments: Organize your team by departments.
Year-to-date  This report shows each employee’s total earnings, tax withholdings, and net pay.
  • Often used as a yearly overview
  • Uses year-to-date totals
  • Date range is always a standard calendar year.
  • You can email this report if you have more than 100 employees at the company.
  • This report may not work if your company has more than 500 employees and contractors (active or dismissed).

Tax deferrals

Review taxes you deferred. This report will only appear if:

  • You chose the Social Security Tax Deferrals from your COVID-19 section.
  • Deferred taxes will be owed in the future. Typically, 50% of the deferred amount is due at the end of 2021, and 50% is due at the end of 2022.
Tax credits

Review tax credits you used. This report will only appear if:

  • You chose the Employee Retention Credit from your COVID-19 section OR;
  • You entered eligible COVID paid leave during payroll runs.
  • N/A
R&D tax credits View all of your federal Research and Development (R&D) tax credit claims.
  • Includes filing and credit savings summaries
  • Must be claiming the federal R&D tax credit to see this report
Custom fields See the custom information you collected about your employees.
  • Must be a Plus or Premium customer using custom fields to see this report
FICA tip credit At the end of the year, you can run a report to show you Federal Insurance Contributions Act (FICA) tip credits, which help fill out Form 8846. You can also reference this report throughout the year to estimate your credit.
  • The credit applies only to tips employees get while serving food and beverages. It does not apply to other tipped employees.

Run standard reports

Use these steps for standard reports you can run in Gusto.

  1. Sign in to your Gusto admin account.
  2. Click Reports.
  3. Find your report by:
    • Recent/Recommended
    • Search
    • Categories
    • A – Z list
  4. Open the report and add extra details (if offered). This includes employee info, earnings breakdowns, tax breakdowns, deductions, and more. 
  5. Choose more options, like:
    • Date range (annually, quarterly, monthly, or a custom range)
    • Grouping (by employee, state, department, and more)
    • Format (CSV, PDF, and sometimes Excel)
  6. Click Continue.
  7. In the top-right, you can often choose date range, format (CSV/PDF/Excel), Group by, Filters, and Columns.
  8. Click Download (if shown) to save as CSV, PDF, or Excel.
  9. If available, click Save as template or Schedule (to run automatically in the future).

Create your own report with the exact columns and filters you need.

Custom report options:

  • New Custom Report: Opens the report builder
  • Group by: Choose Payroll, Employee, or Work address.
  • Columns: Add, remove, or reorder columns.
  • Time Period: Defaults to last 30 days (change to payrolls, custom dates, YTD, or month/quarter/year).
  • Filter: Narrow by department, status, method, state, or specific employees.
  • View: Choose Table or List.

Build a custom report

To build a custom report:

  1. Go to Reports.
  2. In the top-right, click New Custom Report.
  3. Click Group by and choose Payroll, Employee, Current Department, or Work address (complete address or state only).
  4. Click Columns to add fields.
    • Some fields need a specific Group by (for example, SSN or phone number needs you to group by Employee).
    • Drag columns to reorder (some system columns cannot be moved).
  5. Click Time Period and set dates. This will default to the last 30 days.
    • You can choose to get information for:
      • Payrolls
      • Custom dates (before, after, between two dates, or on a specific day)
      • Months, quarters, and years
      • Year-to-date
      • Last (day, week, month, quarter, or year)
      • All time
    • The report shows data based on payroll end date (the last day of the pay period), instead of pay dates. Click Change to update this to one of these options:
      • Payroll start date (the beginning of a pay period)
      • Payroll end date (the last day of a pay period)
      • Payroll pay date (the check date)
  6. Click Filter to narrow data by:
    • Current department
    • Dismissed date
    • Employment status
    • Employment type
    • Payment method
    • Specific employees
    • Work address states
    • Work addresses
  7. At the top of the table, click View (Table or List).
    • Table: Traditional spreadsheet
    • List: Easier to read 
  8. Click the caret next to a column title to sort the column amount by highest or lowest.
  9. Click Save as template to reuse it later.
  10. Click Schedule to email on a schedule (see this section).
  11. Click Download and choose CSV, PDF, or Excel.

Find your downloaded reports

After you download your report:

  1. Your file downloads to your device.
  2. A copy saves to Report history. You only see your own custom reports (not other admins’ or reports that we help you create).

Payroll journal builder

Build a custom payroll report using details about your employees’ past earnings, deductions, and taxes.

  • Once built, you can save the custom report as a template and reuse it in the future by clicking Reports, then Custom reports.

Employment status

Build a custom report and add Employment status* as a column option.

*Employment status options will differ between customers with Gusto-managed and third-party benefits.

  • Gusto-managed benefits customers will have a full range of statuses: full-time, part-time, active, and dismissed.
  • All other customers will have active or dismissed options.
    • Plus and Premium customers can use custom fields to add labels (e.g., full-time/part-time) to employees' profiles. Once added, these labels can appear in custom reports.
      Note: If you use custom fields to label employment status, you need to make sure those definitions are accurate for any other reporting purposes.

Dismissed employees

Filter your custom report by Employment status, then Dismissed.

Employee data report

Build a custom payroll report using details about your employees.

  • Once built, you can save the custom report as a template and reuse it in the future by clicking Reports, then Custom reports.
Schedule custom and payroll trend reports

You can schedule custom and payroll trend reports to run and email you regularly.

  1. Sign in to your admin account.
  2. Go to Reports.
  3. Build a new report or find a saved report in your Report history tab.
    • From the Report history tab, click the Action menu (three dots) next to the report name and choose Back to custom report. 
  4. In the top-right while viewing the report preview, click Schedule.
  5. Name the report (if it does not have one).
  6. Choose a delivery start date.
  7. Choose the frequency: Daily, Weekly, Bi-weekly, Monthly, Quarterly, or Annually.
  8. Choose the format: CSV, PDF, or Excel.
  9. Click Schedule.

On delivery dates, you get an email. Follow the link to your Report history to download the most recent version.

Edit or delete a scheduled report

To edit or delete a scheduled report:

  1. Sign in to your admin account.
  2. Go to Reports.
  3. Click Report history.
  4. Find the saved report, click Actions (three dots), and choose Back to custom report.
  5. Click Schedule to edit details or click x Delete schedule to delete.
Reports by department

After you set up departments, you can group certain reports by department.

  1. Go to Reports → choose Payroll Journal, Benefits, Year To Date, or Contractors.
  2. Select any extra details (earnings, taxes, totals, etc.).
  3. Choose Date Range (check-date-based).
  4. Choose Team members (All, Hourly, Salaried, or Specific).
  5. Choose Group by → Department (or Employees/Work Location).
  6. Click Generate Report → Download as CSV or PDF.
Workforce costing report (project, job, department)

Set up TimeTracking/Projects first. Have employees track time to projects, then process payroll for that date range.

  • Note: Gusto Project Tracking is not compatible with pay schedules set by "employee type".

Run a workforce costing report (project, job, department)

  1. Go to Time & Attendance → Time tracking →
  2. Scroll to Project tracking and click Manage projects.
  3. Click Generate report next to "New project".
  4. Choose what to include and the report format.
  5. Click Generate report → Download CSV (top-right).
Time off reports (balances and requests)

Some states require employers to give employees updated time-off balances. You can meet this requirement by giving employees access to Gusto (so they can see the information) or sharing the Time off balances report at pay time.

Some states require payout of unused balances when an employee leaves the company—check your state rules.

Run the Time off balances report

Admins with the right permissions can run this report and view your employees’ time off accrual, usage, and ending balances.

  1. Go to Reports → search Time off balances (or find under All reports).
  2. The report automatically shows:
    • Employee name
    • Accrued time (after any carryover reductions)
    • Hours used
    • Ending balance
  3. (Optional) Check the Paid Time Off Liability total to see the potential payout liability if the employee leaves the company.
  4. Choose a time period (Annual/quarterly/monthly or custom from 2019+).
  5. Choose employees (All or specific).
  6. Choose to Group by (Employee or Department).
  7. Click Generate Report → Download.
Manual adjustments appear immediately in balances; requests appear after the related payroll pays out (on/after check date).

Other time off reports

  • Paid Time Off Summary: Hours taken for the year.
  • Time Off Requests: Status, type, dates, notes, and totals (Plus/Premium with PTO).

Time off report FAQs

Q: When will a request show in the report?

A: 

  • Time Off Requests report: The request shows as soon as it is submitted.

  • Time Off Balances report: The request shows after payroll tied to it has been paid (on or after the check date).

    • Manual adjustments: These show in the Time Off Balances report right away.

Q: How do rollover rules affect accruals?

A: Rollover accruals apply when payroll runs after the rollover day. If your report includes that payroll run date, the rollover balance will show.

Q: How are employees removed from a time off policy shown?

A: Employees only appear in reports for dates when they were covered by the policy. This also applies to dismissed employees.

Q: Can I run historical reports if I disable policies?

A: Yes. Reports still show historical data if the policy was active during the date range you select.

Q: Can an admin with PTO-only permissions run time off reports?

A: Yes. An admin with the "Manage Time Tracking and PTO" permission can run Time Off Balances and Time Off Requests reports. They cannot view liability totals, because that shows employee pay rate information.

Cash requirements report

The cash requirements report shows admins detailed financial breakdowns for each payroll run. Use it to see how much we debited from your account and where it went.

To find the cash requirements report:

  1. Sign in to your admin account.
  2. Go to Pay.
  3. At the top of the page, click View pay history.
  4. Click the check date.
  5. Find and expand the Tax breakdown dropdown.
  6. At the bottom of the tables, click Cash Requirements Summary.
  7. View summaries of:
    • Debits (direct deposits, reimbursements, taxes)
    • Liabilities (benefits, garnishments, other deductions)
    • Checks
  8. Scroll for Debit Details and Liability Details for employee-level breakdowns.

What the cash requirements report shows

At the top of the report, you’ll see the timeframe and payroll type (regular, off-cycle, and more), and the:

  • Total cash remitted by Gusto
  • Total check payments
  • Total liabilities
  • Total payroll

Debits summary

The debits summary includes:

  • Total direct deposits
  • Total reimbursements (tax-free)
  • Total garnishments
  • Total taxes (employee and employer)
  • Total debit

Liabilities summary

The liabilities summary includes:

  • Total benefits (employee and company)
  • Total employee garnishments
  • Total other deductions (employee and company)
  • Total tax liabilities
  • Total company liabilities

Checks summary

The checks summary includes total check payments.

Debit details (by employee)

The debit details include:

  • Total direct deposit summary
  • Total reimbursements summary (if they exist)
  • Total taxes summary
  • Total unpaid taxes summary (if they exist)

Liability details (by benefit, by employee)

The benefits liability details are broken down by employee, and include both employee and company contributions amounts:

  • Benefit liability summary for each benefit 
  • Other deductions liability summary
  • Garnishment liability summary

Check details

The check details include a total check summary by employee.

Workers' comp audit (documents and reports)

Worker's comp carriers may audit at policy end or cancellation to help determine if the company owes any additional money or needs to be refunded. The notice lists documents needed to verify payroll during the policy term. 

Pay-as-you-go policies reduce audit risk by charging based on actual payroll amounts.

Gusto can help you find documents in your account, but cannot answer the audit on your behalf or give legal advice.

Pre-tax benefit account reports

If your company offers pre-tax benefits through Gusto — like a Health Savings Account (HSA), Health Flexible Spending Account (FSA), Dependent Care FSA (DCFSA), or commuter benefits — you can run different reports to check balances or verify (reconcile) charges.

Reconcile pre-tax benefit debits

To verify a debit (charge) on your account, choose the right report:

  • HSA Contributions: Use to verify HSA-related charges.
  • Pre-tax Benefit Account Replenishment Invoice: Use to verify charges for FSA, DCFSA, or commuter benefits.

You can filter by debit date and check the invoice ID in the report.

  • All transactions with the same ID add up to one invoice total. Each invoice ID is for one full charge (lump sum).

To match a debit, look for the Invoice Close Date — the day before the charge appears on your bank statement.

Check notional pre-tax account balances

For Health FSA, DCFSA, or commuter benefits, use the Pre-Tax Benefit Account Balances report.

This report includes:

  • Employee’s current account balance
  • Enrollment effective date
  • Chosen (elected) amount
  • Total contributions
  • Any rollover amounts

It covers the full plan year for each employee.

View HSA payroll activity

To see all HSA deductions and contributions from payroll, use the Benefits Deductions report in your Gusto admin account.

This shows both employee and company HSA amounts.

View compensation change history by employee

Currently, there is no compensation change history report for all employees, but you can see changes per employee.

To view compensation changes:

  1. Sign in to your admin account.
  2. Go to People.
  3. Select the employee.
  4. Under Information, click Pay.
  5. In the Compensation section, click View compensation history.
