This article is for admins who need to access and understand reports in Gusto.
Go to Reports in your Gusto admin account to view and download payroll, HR, time, and tax data. If you do not see Reports in the left menu, ask your primary admin for reporting permissions.

How report data works in Gusto:
- Payroll totals use check date: Wages, taxes, hours, and similar totals are based on the check date, not the pay period.
- Employment details use calendar dates: Items like birthdays and hire dates use the actual calendar date.
- Export formats: Most reports download as PDF, CSV, or Excel (.xlsx).
- After running them, you can email these reports: Payroll journal, year-to-date (YTD), and benefit deductions (see details for each report in the table).
How work addresses show in reports
How work addresses appear in Gusto reports:
- Reports do not show P.O. boxes as valid work locations.
- Reports show the full address if you have multiple work locations in one city.
- If you have one work location, reports show the city only.
Standard reports are pre-built reports that we created for everyday admin needs. Use them when you need quick payroll, tax, or employee data without building a custom report.

Use these steps for standard reports you can run in Gusto.
- Sign in to your Gusto admin account.
- Click Reports.
- Find your report by:
- Recent/Recommended
- Search
- Categories
- A – Z list
- Open the report and add extra details (if offered). This includes employee info, earnings breakdowns, tax breakdowns, deductions, and more.
- Choose more options, like:
- Date range (annually, quarterly, monthly, or a custom range)
- Grouping (by employee, state, department, and more)
- Format (CSV, PDF, and sometimes Excel)
- Click Continue.
- In the top-right, you can often choose date range, format (CSV/PDF/Excel), Group by, Filters, and Columns.
- Click Download (if shown) to save as CSV, PDF, or Excel.
- If available, click Save as template or Schedule (to run automatically in the future).

Create your own report with the exact columns and filters you need.
Custom report options:
- New Custom Report: Opens the report builder
- Group by: Choose Payroll, Employee, or Work address.
- Columns: Add, remove, or reorder columns.
- Time Period: Defaults to last 30 days (change to payrolls, custom dates, YTD, or month/quarter/year).
- Filter: Narrow by department, status, method, state, or specific employees.
- View: Choose Table or List.
Build a custom report
To build a custom report:
- Go to Reports.
- In the top-right, click New Custom Report.
- Click Group by and choose Payroll, Employee, Current Department, or Work address (complete address or state only).
- Click Columns to add fields.
- Some fields need a specific Group by (for example, SSN or phone number needs you to group by Employee).
- Drag columns to reorder (some system columns cannot be moved).
- Click Time Period and set dates. This will default to the last 30 days.
- You can choose to get information for:
- Payrolls
- Custom dates (before, after, between two dates, or on a specific day)
- Months, quarters, and years
- Year-to-date
- Last (day, week, month, quarter, or year)
- All time
- The report shows data based on payroll end date (the last day of the pay period), instead of pay dates. Click Change to update this to one of these options:
- Payroll start date (the beginning of a pay period)
- Payroll end date (the last day of a pay period)
- Payroll pay date (the check date)
- You can choose to get information for:
- Click Filter to narrow data by:
- Current department
- Dismissed date
- Employment status
- Employment type
- Payment method
- Specific employees
- Work address states
- Work addresses
- At the top of the table, click View (Table or List).
- Table: Traditional spreadsheet
- List: Easier to read
- Click the caret next to a column title to sort the column amount by highest or lowest.
- Click Save as template to reuse it later.
- Click Schedule to email on a schedule (see this section).
- Click Download and choose CSV, PDF, or Excel.
Find your downloaded reports
After you download your report:
- Your file downloads to your device.
- A copy saves to Report history. You only see your own custom reports (not other admins’ or reports that we help you create).
These custom reports help admins track everyday business needs. Use them as starting points for your own reports.

You can schedule custom and payroll trend reports to run and email you regularly.
- Sign in to your admin account.
- Go to Reports.
- Build a new report or find a saved report in your Report history tab.
- From the Report history tab, click the Action menu (three dots) next to the report name and choose Back to custom report.
- In the top-right while viewing the report preview, click Schedule.
- Name the report (if it does not have one).
- Choose a delivery start date.
- Choose the frequency: Daily, Weekly, Bi-weekly, Monthly, Quarterly, or Annually.
- Choose the format: CSV, PDF, or Excel.
- Click Schedule.
On delivery dates, you get an email. Follow the link to your Report history to download the most recent version.
Edit or delete a scheduled report
To edit or delete a scheduled report:
- Sign in to your admin account.
- Go to Reports.
- Click Report history.
- Find the saved report, click Actions (three dots), and choose Back to custom report.
- Click Schedule to edit details or click x Delete schedule to delete.
After you set up departments, you can group certain reports by department.
- Go to Reports → choose Payroll Journal, Benefits, Year To Date, or Contractors.
- Select any extra details (earnings, taxes, totals, etc.).
- Choose Date Range (check-date-based).
- Choose Team members (All, Hourly, Salaried, or Specific).
- Choose Group by → Department (or Employees/Work Location).
- Click Generate Report → Download as CSV or PDF.
Set up TimeTracking/Projects first. Have employees track time to projects, then process payroll for that date range.
- Note: Gusto Project Tracking is not compatible with pay schedules set by "employee type".
Run a workforce costing report (project, job, department)
- Go to Time & Attendance → Time tracking →
- Scroll to Project tracking and click Manage projects.
- Click Generate report next to "New project".
- Choose what to include and the report format.
- Click Generate report → Download CSV (top-right).
Some states require employers to give employees updated time-off balances. You can meet this requirement by giving employees access to Gusto (so they can see the information) or sharing the Time off balances report at pay time.
Some states require payout of unused balances when an employee leaves the company—check your state rules.
Run the Time off balances report
Admins with the right permissions can run this report and view your employees’ time off accrual, usage, and ending balances.
- Go to Reports → search Time off balances (or find under All reports).
- The report automatically shows:
- Employee name
- Accrued time (after any carryover reductions)
- Hours used
- Ending balance
- (Optional) Check the Paid Time Off Liability total to see the potential payout liability if the employee leaves the company.
- Choose a time period (Annual/quarterly/monthly or custom from 2019+).
- Choose employees (All or specific).
- Choose to Group by (Employee or Department).
- Click Generate Report → Download.
Other time off reports
- Paid Time Off Summary: Hours taken for the year.
- Time Off Requests: Status, type, dates, notes, and totals (Plus/Premium with PTO).
Time off report FAQs
Q: When will a request show in the report?
A:

Time Off Requests report: The request shows as soon as it is submitted.

Time Off Balances report: The request shows after payroll tied to it has been paid (on or after the check date).

Manual adjustments: These show in the Time Off Balances report right away.

Q: How do rollover rules affect accruals?
A: Rollover accruals apply when payroll runs after the rollover day. If your report includes that payroll run date, the rollover balance will show.
Q: How are employees removed from a time off policy shown?
A: Employees only appear in reports for dates when they were covered by the policy. This also applies to dismissed employees.
Q: Can I run historical reports if I disable policies?
A: Yes. Reports still show historical data if the policy was active during the date range you select.
Q: Can an admin with PTO-only permissions run time off reports?
A: Yes. An admin with the "Manage Time Tracking and PTO" permission can run Time Off Balances and Time Off Requests reports. They cannot view liability totals, because that shows employee pay rate information.
The cash requirements report shows admins detailed financial breakdowns for each payroll run. Use it to see how much we debited from your account and where it went.
To find the cash requirements report:
- Sign in to your admin account.
- Go to Pay.
- At the top of the page, click View pay history.
- Click the check date.
- Find and expand the Tax breakdown dropdown.
- At the bottom of the tables, click Cash Requirements Summary.
- View summaries of:
- Debits (direct deposits, reimbursements, taxes)
- Liabilities (benefits, garnishments, other deductions)
- Checks
- Scroll for Debit Details and Liability Details for employee-level breakdowns.
What the cash requirements report shows
At the top of the report, you’ll see the timeframe and payroll type (regular, off-cycle, and more), and the:
- Total cash remitted by Gusto
- Total check payments
- Total liabilities
- Total payroll
Debits summary
The debits summary includes:
- Total direct deposits
- Total reimbursements (tax-free)
- Total garnishments
- Total taxes (employee and employer)
- Total debit
Liabilities summary
The liabilities summary includes:
- Total benefits (employee and company)
- Total employee garnishments
- Total other deductions (employee and company)
- Total tax liabilities
- Total company liabilities
Checks summary
The checks summary includes total check payments.
Debit details (by employee)
The debit details include:
- Total direct deposit summary
- Total reimbursements summary (if they exist)
- Total taxes summary
- Total unpaid taxes summary (if they exist)
Liability details (by benefit, by employee)
The benefits liability details are broken down by employee, and include both employee and company contributions amounts:
- Benefit liability summary for each benefit
- Other deductions liability summary
- Garnishment liability summary
Check details
The check details include a total check summary by employee.
Worker's comp carriers may audit at policy end or cancellation to help determine if the company owes any additional money or needs to be refunded. The notice lists documents needed to verify payroll during the policy term.
Pay-as-you-go policies reduce audit risk by charging based on actual payroll amounts.
Gusto can help you find documents in your account, but cannot answer the audit on your behalf or give legal advice.

If your company offers pre-tax benefits through Gusto — like a Health Savings Account (HSA), Health Flexible Spending Account (FSA), Dependent Care FSA (DCFSA), or commuter benefits — you can run different reports to check balances or verify (reconcile) charges.
Reconcile pre-tax benefit debits
To verify a debit (charge) on your account, choose the right report:
- HSA Contributions: Use to verify HSA-related charges.
- Pre-tax Benefit Account Replenishment Invoice: Use to verify charges for FSA, DCFSA, or commuter benefits.
You can filter by debit date and check the invoice ID in the report.
- All transactions with the same ID add up to one invoice total. Each invoice ID is for one full charge (lump sum).
To match a debit, look for the Invoice Close Date — the day before the charge appears on your bank statement.
Check notional pre-tax account balances
For Health FSA, DCFSA, or commuter benefits, use the Pre-Tax Benefit Account Balances report.
This report includes:
- Employee’s current account balance
- Enrollment effective date
- Chosen (elected) amount
- Total contributions
- Any rollover amounts
It covers the full plan year for each employee.
View HSA payroll activity
To see all HSA deductions and contributions from payroll, use the Benefits Deductions report in your Gusto admin account.
This shows both employee and company HSA amounts.
Currently, there is no compensation change history report for all employees, but you can see changes per employee.
To view compensation changes:
- Sign in to your admin account.
- Go to People.
- Select the employee.
- Under Information, click Pay.
- In the Compensation section, click View compensation history.
