Add payroll reminders to a personal calendar (for admins)

• Company payroll pay-days for Regular payrolls (for US payroll)
• Deadlines to run Regular payrolls (for US payroll)
• Approved employee paid time off dates
• Employee birthdays (for active employees)
• Employee work anniversary dates (for active employee)
• New hire start dates
• Country holidays

Every time the calendar is synced, these events will be refreshed for the next two years as well as three months in the past. 

1. Sign in to your admin profile in Gusto. 
2. Go to the Home page. 
3. On the right-side of the page, find the header "Upcoming". You may need to scroll down.
4. Next to "Upcoming", click Sync calendar.
5. Click which calendar you're syncing to:
   • Google: Google Calendar will open in a new tab, and you will be prompted to add the calendar link to your calendar. Click Yes, add this calendar. See here for more details.
   • Outlook: You will be prompted to add the calendar link to your Outlook calendar. Click Subscribe. See here for more details.
   • iCal: You will be prompted to add the calendar link to your iCal calendar. Click Subscribe. See here for more details.
6. Click Done.

Once added, a "Gusto Reminders" calendar name will be added to your personal calendar view. How frequently the calendar syncs depends on the settings in your personal calendar (Google, Outlook, iCal).

Re-sync reminders

If you need to re-sync your calendars, return to the calendar syncing screen and go through the sync process again.

Added privacy options

Prevent unauthorized access to calendars by generating new links since anyone with the link can sync to them. This will also disconnect all existing sync connections. Click Generate new calendar links in the syncing flow to do this.

• This will immediately generate new calendar sync links and disconnect all existing calendar syncs. 
• This action cannot be undone.

To remove the calendar sync and reminders, you'll need to unsubscribe from the calendar in your iCal, Outlook, or Google Calendar account.

If a Global or Limited admin is removed from a Gusto account, all Gusto reminders will automatically be removed from that former admin's calendar after the next calendar sync.

Q: Do the deadline dates for payroll consider bank holidays?

A: Yes—if a bank holiday falls within the timeframe for processing your payroll, this will be reflected correctly in your calendar so that you're aware you need to run payroll early. These deadlines indicate the very last day to run payroll in order to pay your employees on time through direct deposit (bank holidays and weekends included).

Q: Does this feature support multiple payroll schedules?

A: Yes—if you're using multiple pay schedules, pay days and deadlines to run each payroll will sync to your calendar.

Q: Can I customize which reminders sync to my calendar?

A: Not at this time. Once you've added the calendar URL, a standard set of events (see above in this article) will sync automatically.

Q: I have multiple Gusto accounts. How can I distinguish which payroll reminder is from which of my Gusto accounts?

A: Payroll reminders will reside under the calendar name “Gusto Reminders” by default. We recommend editing the details for “Gusto Reminders” in your calendar by changing this name (i.e. to the actual company account name) and a different calendar color for each Gusto account.
